The Office Administrator is responsible for assisting with day-to-day operations of a fast-paced, energetic, emerging growth company. The Office Administrator will handle all office-related needs, to nurture Company culture through planning and executing Company events, and to maintain a polished and well-functioning office environment. They will act as a point person for employee requests, maintain inventory of office related supplies, and provide administrative support to HR. The ideal candidate has a strong focus towards customer service, as they will be the face and voice of the company to visitors, vendors, and employees.

Your Responsibilities:

(1) Operations & Team Support

• Provide ad hoc administrative support to organization as needed

• Assist with special projects, presentations, and correspondence

• Responsible for all clerical functions including reception and mail service

• Troubleshoot and communicate potential calendar conflicts, prioritize inquiries and requests, make judgments and recommendations to ensure smooth day-to-day engagements

• Plan, coordinate, and facilitate internal and external Company events, meetings, team lunches, and conferences; flexible in attending after-hours work events a few times per year to act as a point person and ensure the events run smoothly

• Organize, manage, and maintain physical office and workstations

• Order, stock, and maintain inventory including company products, office supplies, snacks and beverages, restroom supplies, and cleaning materials

• Manage spending to keep costs low; complete expense reports in timely manner

• Ensure that the office is kept tidy, presentable, and welcoming, with additional attention to high circulated areas such as the kitchens, the reception area, and meeting rooms

(2) HR Support

• Assist with HR related tasks, projects, and initiatives as needed

• Organize and communicate interview schedules and assist with travel arrangements as needed

• Assist with applicant tracking system (ATS) as a part of the talent acquisition process

• Assist with the coordination, development, and maintenance of job descriptions

• Post, maintain, and refresh job advertisements on various job boards and Company website

• Coordinate and support new employee preboarding and onboarding experience

• Maintain and update organizational charts

Position Qualifications:

• Bachelor’s Degree or equivalent experience

• Minimum of 1+ years of Administrative Support experience

• Excellent written and verbal communication skills with professional polish

• Proficient in Microsoft Office suite including Microsoft Word, Excel, Outlook, and PowerPoint

• Maintain complete confidentiality of all sensitive information and documentation

• High level of customer service, attention to detail, and organization

• Proven time management skills. Ability to manage multiple priorities and deliver tasks with a sense of urgency

• Demonstrated experience in a fast-paced, strong work ethic, accountable work environment

• Availability to work Monday-Friday in the Chadds Ford, PA office

Preferred Skills & Qualifications:

• Proficient in Microsoft Office suite including Microsoft Word, Excel, Outlook, and PowerPoint
